Administrative Coordinator (Fullerton, CA)

DUTIES 
Essential Duties and Responsibilities include, but are not limited to:

  • Assisting Senior Project Managers / Principal with word processing and administrative tasks
  • Billing and Invoicing
  • Assisting the Director of Operations and Marketing with preparation of proposals, promotional materials and trade show activities
  • Editing and proofreading reports
  • Assisting with bookkeeping and accounting
  • Greeting the occasional visitors of the firm (determine the nature and purpose of visit and alert the appropriate staff member)
  • Light phone duties (our auto-attendant handles 90% of our calls) 
  • Ordering Office Supplies
  • Checking/distributing mail on a daily basis 

EXPERIENCE, SKILLS, EDUCATION:

To excel as our administrative coordinator, you must be able to perform each of the following essential duties satisfactorily: 

Required:

  • Strong computer skills in Microsoft Office Suite (Outlook, Teams, MS Word, and Excel)
  • Excellent interpersonal skills – This role often serves as the “face” of the firm
  • Effective verbal and written communication skills
  • Detail oriented – ability to proofread and edit documents
  • Time management skills – must be able to meet deadlines
  • Ability to work on multiple tasks efficiently under limited supervision
  • Maintains regular and timely attendance
  • High School education, plus associate’s degree or equivalent
  • Minimum of 5 years of previous related work experience 

Preferred (but not required):

  • Experience with Accounting Software such as Deltek Ajera or equivalent
  • Past experience in the Architecture/Engineering/Construction industry
  • Experience with adobe software such as indesign and photoshop
  • Experience with social media platforms and wordpress
  • Bachelor’s Degree
